Disappearing Outlook Appointments

Good Afternoon,

We are using the CRM Outlook client(Offline enabled) with UR7 and CRM 4.0
server with UR6. One user has been experiencing appointments that disappear
from his calendar. There is nothing unusual in his event logs, the
appointment was there this morning when he tracked it in CRM. Now serveral
hours later the appointment is in the CRM system, but in his Outlook it was
in his Deleted Items folder and no longer being tracked in CRM. The client
syncs every 35 minutes and it was fine until 2 hours before the meeting. The
appointment was form another CRM user who had not changed the appointment.
The config is Windows 7, IE8, CRM Outlook client 4.0 with UR7. I have
repaired Outlook, repaired CRM, verified the Local Data filters have not
changed.
If anyone could point me at a logging feature or somewhere to look it would
be greatly appreciated. I don't think CRM tracing would help, but I am not
sure at this point.

Hi Sealy-

Is the user for sure an "attendee" on the appointment? I have seen certain
scenarios depending on how the appointment was created where they were the
owner of the appt in CRM, but not an attendee. When CRM syncs with Outlook
it only brings down "Appointments I'm attending", so if the user is just the
owner of the appt in CRM and not really an attendee then it could possibly be
removed from thier calendar.

Check in CRM to see if they are for sure an attendee.

You are correct, there are not really any great traces that are going to
help with this one.

Hello Shawn,

Thank you replying. The user is indeed an attendee. The local data filter is
set to pull sync appointments where the user is required, optional or
organizer.
The sad part is that it doesn't remove all CRM tracked appointments. I have
another user now where appointments only stay tracked at the orignal
appointment time. If the appointment is updated CRM will move it back to the
orignal time at the next sync.
There have not been any changes on the client machines except for Windows
Updates. Every client receives the same updates and luckily it is only on two
machines that have the trouble. I have enabled tracing to see if that will
help at all on the client and the server. I have also removed CRM, removed
the user's OST file, then started Outlook, then added CRM back. No luck as of
yet. If anyone else thinks of anythgin please let me know.

I have seen this and was wondering what was happening.
In my case (similar environment to above) the Organizer was from outside our
CRM and did not resolve to an internal CRM User Account. A soon as the
meeting was tracked in CRM from outlook, and the synch occurred, the meeting
disapeared from Outlook and was kept in CRM.
The main issue was that now any updates to the meeting from the client will
not be sent...

I've heard of similar behaviour if you have users also set as contacts
in CRM. Tracking removes them from the user record and attaches them
to the contact record and no more outlook sync.

One of the user having issue with Appointmnets / Meetings
gets removed from the Outlook by using Synchronize with CRM option.
